How long to save closeouts?

The miscellaneous section of the InfoTouch setup module includes a setting for the number of days to retain closeout reports on the system. The system default is only 7 days (one week) but you can change it so any number less than 365. We suggest at least 180 days or as many days as will cover your busiest season, whichever is greater.

Closeout Report Data Files

InfoTouch stores the closeout reports in datafiles with a QD file extension. The files are standard text files, readable by any word processor or even Windows NotePad, and are located in the VERTICAL folder on an InfoTouch 2000 system or the TNS directory on an InfoTouch for DOS system. The name of the file is a bit curious, but it relates to the day number within the year and starts with the letter R. By reviewing the date and time stamp of the file itself you can more easily tell what closeout date the respective file represents.

Issues related to InfoTouch for DOS

Whatever reports were selected to print when the closeout was originally performed are the reports that will be available for a reprint of that closeout. Therefore, it's important that you carefully determine which reports you need on a daily basis as well as which reports you may need at a later date, and then turn all of the desired reports on. Yes, it will use more paper when the closeout is originally performed which means it will also take longer to complete the closeout. If you have a slow printer, you may consider purchasing a faster, higher capacity printer.

Be sure to have your closeout staffer keep EVERY PAGE of the closeout, even though some of the reports may not be necessary for them to balance the cash drawer.

Printer turned off: If your printer is turned off when you start the closeout, InfoTouch will generate a printng error message. If you select to bypass printing the reports, bear in mind that this may have a deliterious effect on the system's ability to retain a closeout for reprinting at a later date. Remember, the DOS version expects to retain reports that are actually printed -- bypassing this effectively says "don't print the reports." Some versions of InfoTouch prior to version 8.0 may retain the report data anyway; others may not. Forewarned is forearmed.

Issues related to InfoTouch 2000 for Windows

Starting with version 8.31, you can specify which reports to print on the printer, which to save but not print, and which to ignore. This is a terrific feature but you should still carefully determine which reports are needed. They must still be either printed or "saved" to be able to reprint them later.

One of the nice features of Windows is that the Windows print buffer will generally accept everything sent to it, whether the printer is actually powered on or not. If the printer is off, the buffer holds the print job and you can restart it later.
