I need to reprint my W-2s from last year. How do I do that?

Ouch. This isn't hard to do from within Club Office, provided...

  1. Make a backup of your data first. This is just a safety operation...
  2. Start the employee manager, then select Setup Jobs/Deductions.
  3. At the jobs/deductions configuration screen, click FILE - Update CumEarn file from Detail
  4. Type the 4-digit year for "last" year. If it is calendar year 2007, you'd type 2006.
  5. Click OK. The program may run for a while while it recalculates the selected year totals. Employee names will flash on the screen as they are updated.
  6. Call Club Data's tech support for a copy of the appropriate W2 printing layout file for the year in question. The feds change the format every year and you'll need the right one so that the numbers hit the boxes right. The names of the files are:
    w22up.sys and w22up.lof  (2-up forms)
    w24up.sys and w24up.lof (4-up forms)
  7. Print your W2s.
  8. Go back to the employee module and the setup jobs/deductions screen.
  9. Choose the Update CumEarn file option again.
  10. Type the current year into the box and recalculate your employees to the current year again.
  11. Before you print W2s for the current year, be sure to update your software so that the current year printing layout files are put back on your system. They're a part of every update and will be replaced next time you update your software.
